In 2017, Zystm chose to replace their C5 solution with a modern ERP-system for furniture manufacturing. The choice fell on TRIMIT Furniture, because TRIMIT’s project module enabled Zystm to handle large project deliverables. 

In addition, Zystm could see itself in a long-standing collaboration with CORNATOR, which was responsible for the delivery of TRIMIT Furniture. Zystm is a furniture company that produces interior design solutions and fixtures for hospitals, laboratories and educational establishments.

Zystem's director Michael Kudsk explaines: We almost started on a blank piece of paper when we went out to see what was in the market. The focus areas were that we should have a flexible system that could be adapted to our needs, and very much within the limits of what the system could, so that we would not have to go out and do a lot of special programming.

During 2017, they began to look for a new ERP-system that could replace C5, which was both being phased out and had reached the limit of what Zystm needed. 

This requirement was met by TRIMIT Furniture because it is largely a standard solution for the furniture industry. And then it was also a must to get flexibility when defining the products in the system.

All that with model billing, product configuration and variant billing can also be solved by others. What we felt with TRIMIT was that it is a system that has been tested in those areas. It is much more integrated into Dynamics 365 than any of the other solutions we found. We felt, that with TRIMIT we got a very proven solution. The TRIMIT solution has an update concept that ensures that it is possible to follow Microsoft’s Dynamics NAV / 365 Business Central updates explains Michael Kudsk.

Another important factor in the choice of ERP system was the IT partner, and here Zystm had important requirements for the company, that should help them roll out the ERP solution.

We focused on the partner. The company we signed up with was going to be a company we could see a collaboration with for years to come, and they should have the capacity and the expertise to help us. It ended up with CORNATOR and TRIMIT and we are really happy about that.

Zystm's production manager Lasse Fuhr explains When Zystm gives a request for proposal, eg. For a hospital or other large building, it is done in TRIMIT Furniture’s project module. These are typically complex orders to be delivered over several weeks and months to multiple building, multiple floors, etc. “The opportunity we have been given now, is that we are typing the entire offer in one place in a project we create”. 

Once we have won a case, we dissect the task into orders, which can be don down to room level. We can pull some of the items and copy them directly into an order. They get a different color, so we can check that everything is included and that nothing is included twice. It has helped us a lot. 

Another advantage is that overall parameters make order processing much faster. For example, a hospital may have specific requirements for cabinets and fixtures, e.g. in the form of front colors, grips, aluminum edges, etc. 

Then we can go to the project level so that all the choices in the project are predefined. When we had to enter an order earlier, we had to decide on each cabinet with color, edge and grip every time. It was defined once and for all. On that basis, our key work has become much faster and quality assured.

Michael Kudsk is also pleased with the configurator feature of TRIMIT Furniture, which automates a wide range of choices, both when it comes to making an offer and production lists.

You are presented with these choices, so you avoid mistakes. when the orders are confirmed, they enters the production system and it automatically generates production bills and production slips, everything you need in production, so we avoid manual labor

Before, we had some rules and spreadsheets where we calculated manually. Now we see a 70-80 % time reduction. That’s a good thing.

Much better overview on the accounting side

On the financial side, the new system is also happy. Here, accounting manager Benny Ibsen has set up the processes and he thinks it works really well.


Benny Ibsen continues: We’ve become a lot more paper-saving. We no longer have invoices that are not electronic. Before we had an average of 6,000 printed documents a year. It is electronic now, so it is space-saving and resource-saving, and it is much easier to find documents. Everyday has been facilitated by utilities such as Document Capture and Payment Management.

Document Capture works really well and has yielded huge savings in terms of resources and also approval. One of the things Document Capture is good at is if you get an invoice twice.

It can immediately see that you already have recorded that invoice, so there is no risk of posting an invoice twice. And not only that, you don’t spend resources getting it reviewed or approved twice. Payment Management also works well. On average, it doesn’t take more then 5-10 minutes to run through transaction documents, then they are both paid and posted in the system. So, it’s become much more efficient.

Manage inventory and delivery times

Zystm’s policy is to deliver on time and follow the schedule of the buildings they deliver to. But even though deliveries are ready on time, it is not always that the construction has become quite so far. Therefore, Zystm needs an efficient storage system.

We care a lot about, always delivering on time. That’s why we always produce all of the deliveries ahead of time. But then we have them in stock and we keep track of it via the order storage function, which is made in TRIMIT. Then we have control over what we have in stock. In the past, we used a manual list, and it just never get quite good.

Although it is always a major process to implement an ERP system, Zystm has done well. Here they emphasized that the project was particularly successful because of CORNATOR’s project management.


Michael Kudsk explaines: The integration and the process of implementing the system has gone really well. There has been a plan with a good structure, and it has more or less 100% followed after the plan.

Lasse Fuhr continues: We rolled out the system over the course of six months from start to finish. It has been reasonably concentrated, and it has been with a normal operation running alongside. On the financial side there was also a decent compliance with the budgets that was laid down from the start. We stayed within what was agreed. 

We have had a fantastic project manager throughout. Of course there has been a bit of a bump in the road, but compared to the fact that we have gone from a completely different system and gone into operation with a new one, I would say that it has gone extremely painlessly. 

And on the production side there has been tested so much, that not many cabinets have been produced incorrectly because of the new system. So we’ve had a great collaboration.

Confidence is so central to good collaboration. Especially the trust of the consultants who help get the processes running on day-to-day work.

It’s just tremendously important that these are the right people and that they can execute. And we feel that CORNATOR can. We feel that we had the right key person. She may not necessarily have the answer to everything, but then she goes back to CORNATOR and makes sure we get an answer at a proper speed and a decent quality. There’s a lot of praise from us on that front.
